PURPOSE:
The Site Clerk (Project Coordinator) provides support to the Site Superintendent and Project Manager in coordinating, assessing and interpreting information/data originated by engineering, clients, sub-contractors, construction and the head office. The incumbent coordinates and monitors the activities of assigned contractors performing work within the construction disciplines and ensures compliance with project safety, quality and schedule, cost, and security requirements.
Assist the Site Superintendent and/or Project Manager in the day-to-day duties of project administration
Collect, prepare and distribute contract administration paperwork
Liaise and coordinate with consultants and Trade Contractors
Address and solve day-to-day project coordination challenges
Collect, analyze and submit reports for project management as required by the project
Assist in the preparation of information to be submitted for the weekly and monthly construction reports
Attend and contribute information during team meetings with regards to current and outstanding issues and the weekly progress
Prepare meeting minutes and distribute them.
Submit cost coded invoices which have business unit expenditures to the Project Manager for approval
Handle field purchase orders; assist Accounts Receivable and Accounts Payable at head office
Ensure construction work complies with all engineering standards, codes, specifications, and design instructions
Act as a liaison with Trade Contractors and Consulting Team in expediting drawings and related information
Coordinate submittals and procure all close-out documents
Arrange and coordinate training for end user staff
Assist in the preparation of “Lessons Learned” sessions
Participate in project, proposal or functional meetings. Create an Action log and follow-up with the responsible persons for close-out of action items
Maintain site safety and clerical paperwork and filing

KEY PERFORMANCE INDICATORS:
Ensure APM safety requirements are carried out at ALL times
Ensure that contract administration paperwork, technical coordination and communications are timely and complete.
QUALIFICATIONS:
Construction & Technology Management Diploma, Architectural Technology Diploma. or bachelor’s degree in construction management and/or engineering (P. Eng) preferred
Previous technical experience preferred. Entry level personnel considered
Registered (or eligible for registration) as a Certified Engineering Technologist (CET) or Engineer in Training (EIT)
Working knowledge of all the construction trades and how they are independent of each other to strategize and sequence the work activities in a complex/fast moving construction environment
Ability to read, understand and interpret engineering and vendor specifications and drawings
Outstanding written, verbal, and interpersonal skills
Ability to assume responsibility and to interface and communicate effectively with others
Proficiency with Microsoft Office (Word, Excel & Outlook), project management, and scheduling software
